Before you sign up

Can I try it without giving you a card?

Yes, twice over. The coach demo is a complete working account with no signup at all — click around as much as you like, it resets every night. And every new account starts with 30 days of full Pro, no card needed. After that you pick a plan, and your data stays either way.

How long does it take to set up?

An afternoon to be running properly: your lesson types, your availability, your public booking page. You can be taking a booking within about twenty minutes of signing up if you want to move faster than that.

I already use another booking system. Can I move?

You can run both while you switch — nothing stops you taking bookings elsewhere and using CoachOS for coaching. Importing your existing players and history is on our list rather than built, so tell us what you are coming from and we will factor it in.

Do I need to be technical?

No. The only fiddly part is connecting Stripe so you can take cards, and there is a step-by-step guide for it. If you would rather not take cards at all, you can skip it entirely and mark payments off yourself.

Money

The short version: your players pay you, and we never touch it.

Do you take a cut of what I charge?

No. Card payments go through Stripe straight into your own account and settle to your bank on your schedule. CoachOS charges you a monthly subscription for the software and nothing else. We never see your lesson money.

Do my players pay a fee to use CoachOS?

Never. The only money a golfer ever pays is what you charge them — lessons, passes, swing reviews. There is no player subscription and no platform fee.

Do I have to take card payments?

No, and plenty of coaches do not. Take cash in the bay and mark the booking paid — that works properly and always will. Every booking can be marked paid, still to pay, free, or paid from a credit. You can turn cards on later without disturbing anything.

What is Stripe and why do I have to give them my ID?

Stripe is the company that actually moves the money. Anyone taking card payments has to be identity-checked by law, which is why they ask for your details and a bank account. It is normally done in a few minutes. Your details go to Stripe, not to us.

How do I set my prices?

You set all of them. Lesson types, passes, group sessions, packages, courses and swing reviews are each priced by you in Settings, and you can change them whenever you like.

Can I run a discount?

Yes — create a code in Plan & Billing, choose a percentage or an amount off, and choose exactly which of your products it works on. You can cap how many times it is used and when it expires. The discount comes out of your takings, because it is your price.

How do refunds work?

You refund from your own Stripe dashboard, like any other payment you take. Cancelling a booking a player paid for offers to refund it and leaves the decision to you. If a slot gets taken while someone is mid-payment, they are refunded automatically and told why.

Passes, packages and credits

How do lesson passes work?

You create a lesson type that includes several lessons — six for the price of five, whatever suits. A player buys it once and the credits sit against their name; when they book, the lesson comes off the pass instead of being paid for again.

Do credits expire?

Only if you say so, and you decide per product. You can set a period from purchase ("six months to use these"), a fixed date ("winter package, done by 31 March"), or both — in which case whichever comes first applies. Leave it blank and they never expire.

I want to change a package I already sell. What happens to people who bought the old one?

They keep it. Products are archived rather than deleted, so the old package disappears from what anyone can buy while everyone holding credits can still use them. Swapping a 5-lesson pass for a 6-lesson one is just archive the old, add the new.

A player works with two coaches. Whose credits are whose?

Separate, and correctly so. Credits are held against a specific coach because the money went to that coach. A golfer with two coaches has a balance with each, and neither can be spent on the other.

Swing reviews

What actually is a swing review?

A player films a swing on their phone and sends it in. You draw on it, talk over it, and send it back — they hear your voice and watch your drawings appear in step, whenever they open it. It is the part of a lesson you can deliver without both being there.

Do I have to sell them?

No. Set no price and the app simply tells your players you do not offer reviews. You can also just give credits to a player yourself without any money involved.

How do I price them?

However you like — a single price, packs of several, or on Academy a monthly plan. Players see the price each on a pack, so the saving speaks for itself.

The app

Is the app included?

Yes, on every plan, at no extra cost. Same login as the web, and everything syncs — the same diary, the same Spaces, the same rules.

Do my players need to pay for it?

No. Your players download it free and it carries your branding — they see your name and your colours, not ours.

What can I do on the phone that I cannot do on a laptop?

Film. The app exists because coaching happens on a range, not at a desk — record a swing with framing guides, draw on it, and talk over it while it plays. Everything you do while recording is captured and replayed for the player exactly as you did it.

Can players buy things in the app?

Yes — passes, packages and swing reviews, paid straight to your Stripe. Payment opens inside the app and comes back when it is done; they never get sent off to a website.

Plans and your data

How many players can I have?

Unlimited, on every plan. The tiers differ on features and storage, never on how many golfers you coach.

What counts towards storage?

Everything uploaded across your Spaces — your videos and your players’ — plus swing submissions, launch-monitor files and voice notes. When it is full, new uploads pause until you free space or move up a tier.

What happens if I downgrade?

Nothing is deleted. Features above your new tier stop being available, but everything you built stays exactly where it is and comes straight back if you move up again.

Can I cancel?

Any time, from Plan & Billing. No notice period and no exit fee.

If I leave, what happens to my players’ videos and notes?

They are yours and they stay yours. Ask us and we will get you your data — we would rather help you leave cleanly than hold anything hostage.
